reduce word document file size

Word file too big to email? Here are the 5 most effective fixes — plus a free browser tool as a last resort.

Why Word files get too large

The most common cause is embedded images at full resolution. Word stores photos at their original camera size by default — a single photo can add 5–10 MB. Other causes include embedded fonts, old .doc format, and accumulated undo history. The fixes below address all of these.

  • 1
Biggest win — up to 80% smaller
    Compress images inside Word
Go to File → Compress Pictures (or right-click any image → Compress Pictures). Select Email (96 ppi) and check Delete cropped areas. Apply to all images. This is the single most effective step for image-heavy documents.
  • 2
Easy win — often 20–40% smaller
Save as .docx instead of .doc
Go to File → Save As and choose Word Document (.docx). The modern .docx format uses internal ZIP compression — it is significantly smaller than the older .doc format which has no compression.
  • 3
    Remove embedded fonts
Go to File → Options → Save and uncheck Embed fonts in the file. Embedded fonts can add several MB. Only needed if the document uses unusual fonts the recipient may not have.
  • 4
    Clear undo history
Save your document, then go to File → Save As and save it with a new name. This creates a fresh copy without the accumulated undo/redo history that Word stores silently in the background.
  • 5
    Reduce compatibility mode
If your title bar shows [Compatibility Mode], go to File → Info → Convert. This upgrades the document to the current format and removes legacy overhead that inflates the file size.

Last resort — ZIP compression
Since .docx files are already compressed internally, ZIP compression typically saves only 1–5% on Word files. Try the steps above first. If you still need a smaller file for a specific upload limit, use the tool below.

Compression runs in your browser — your Word documents are never uploaded to any server. Note: .docx files are already internally compressed so ZIP savings are typically 1–5%.

Word file size guide

Follow the 5 steps in order. Most users solve the problem at step 1 or 2 without needing any tool at all.

Typical size reductions

Compress images — 50–80% smaller

Save as .docx — 20–40% smaller

Remove fonts — 2–10% smaller

Clear undo history — 1–5% smaller

ZIP compression — 1–5% smaller

Email attachment limits

Gmail — 25 MB

Outlook — 20 MB

Yahoo Mail — 25 MB

iCloud Mail — 20 MB

If your file still exceeds these limits, share via Google Drive, OneDrive or Dropbox instead.

FAQ

Why is step 1 the biggest win?
Images are stored at full camera resolution by default — a single photo can be 5–10 MB. Compressing to screen resolution (96 DPI) is invisible to the reader but dramatically reduces file size.
Does the ZIP tool work on .doc files?
Yes — .doc files are not internally compressed like .docx so you may see slightly better ZIP results. Still, saving as .docx first (step 2) is usually more effective.
Is my document uploaded anywhere?
No — the ZIP tool runs entirely in your browser. Your Word document never leaves your device.
Is this free?
Yes — completely free, no sign-up, no limits on 727ave.com.
